How a chain works

  1. Set up stages

    Once, in Settings: "Management", "Purchasing", "Warehouse", each with a color and members.

  2. Fields per stage

    In the document, every field belongs to a stage. Management's signature always lands in management's field.

  3. Start the chain

    Check or change the order, choose who is responsible for each stage, set a deadline, start.

  4. Stage by stage

    The active stage receives its links. After the signature, the next one is up. Everyone sees what was signed before them.

  5. One final version

    After the last stage, exactly one PDF is created with all signatures, the proof page and the checksum.

The rules

  • One signature per stage

    Every member receives a link. Whoever signs first completes the stage. The other links become invalid. If you wish, the others receive a short notification.

  • Order per chain

    The order on the document is only the default. It can be changed by dragging or with the keyboard whenever a chain is started.

  • Reject with a reason

    Every stage can reject and must give a reason. The chain stops, all links become invalid, the initiator receives an e-mail. No final version is created.

  • Deadlines

    Every stage has a deadline, 14 days by default. If it expires, the stage can be sent again with new links and a new deadline.

  • Change who is responsible

    If the responsible person is on leave, change the responsibility for the active stage. New links go out, the old ones become invalid.

  • External stages

    A supplier or customer can be a stage. They sign via a link, without an account, with name and company taken from the recipient list.

My tasks

Every member sees in DocTrace which stages are currently waiting for their signature: reference, document, stage, deadline. One click opens the document for signing. Members without web access receive their link by e-mail instead.

And if I only need one signature?

Then you don't need stages. A document without stages is the simple route: upload, place fields, send. Stages are only visible to those who set them up.

Recipients need no account and no app. The link in the e-mail is enough, on a phone, tablet or computer.
